HelpMindBody offers individual and couples therapy to adults aged 21 and over. If you are under 21, or if the services you are requesting are not suitable for your circumstances, HelpMindBody may decline or redirect your request.

The availability and continuation of therapy-related services remain subject to professional judgement, service boundaries, legal or regulatory considerations, safeguarding responsibilities, and other relevant factors.

 

A person making an enquiry for couples therapy or joint therapy should also understand that the nature, focus, and practical arrangements of this work may differ from individual therapy, and that additional terms, consent processes, or service boundaries may apply where relevant.

Booking and Appointment Requests

All booking requests, appointment requests, consultation requests, and related communications are subject to review, availability, and acceptance.

 

A service relationship will usually begin only once a booking has been accepted and any required administrative, suitability, intake, contract, consent, and payment steps have been completed.

 

Submitting an enquiry, requesting an appointment, using a booking form, receiving preliminary information, or taking part in booking-related communications does not by itself create a therapist-client relationship, a contractual relationship, or a guarantee that services will be offered or made available.

 

A service relationship will usually begin only once a booking has been accepted and any required administrative, suitability, intake, contract, consent, and payment steps have been completed.

 

HelpMindBody may decline, defer, or redirect a booking or appointment request where this is reasonably necessary for reasons including service suitability, professional boundaries, safeguarding concerns, legal or regulatory obligations, conflicts of interest, location-based restrictions, service capacity, practical limitations, or other appropriate professional reasons.

 

Where individual therapy, couples therapy, or joint therapy is requested, the person or persons seeking the service may be asked to provide relevant information, agree to appropriate terms, and complete any required administrative, suitability, or consent processes before a booking is confirmed. In the case of couples therapy or joint therapy, both partners or participants may be required to take part in those steps where relevant.

 

HelpMindBody may also determine, in the exercise of professional judgement, whether a requested service, including couples therapy or joint therapy, is appropriate and suitable in the circumstances.

 

Any appointment date or time offered before final confirmation should be treated as provisional unless and until confirmed by Helpmindbody.

 

HelpMindBody reserves the right to postpone, decline, or not proceed with a booking request where it is reasonable to do so in light of the circumstances, provided that this does not affect any rights that cannot lawfully be excluded.

Fees and Payment

Fees for services will be made clear before a session or other service is confirmed or paid for.

 

At the time of writing, the standard fees are:

  • Individual therapy is £85 per session, and
  • Couples therapy or joint therapy is £110 per session, unless otherwise stated.

 

HelpMindBody may, at its discretion, offer a reduced fee, concession rate, student rate, hardship rate, or other discounted arrangement in appropriate cases. Any such rate will be decided on an individual basis and will be communicated clearly before a session is confirmed.

 

Reduced or discounted rates are not guaranteed and may be limited by availability, service capacity, or other relevant circumstances. Services are generally offered on a Pay-As-You-Go basis unless a different payment arrangement is expressly agreed in advance.

Children and Vulnerable Persons

Website content is general in nature and may not be appropriate for all ages or for all vulnerable individuals without proper guidance or support.

 

Where a child, young person, or vulnerable person requires help, support should be sought from an appropriate parent, guardian, licensed professional, emergency service, or other suitable responsible adult or service, depending on the situation.

Cancellations, Rescheduling and Refund Policy

If you need to cancel or reschedule a session, you should give as much notice as possible. This helps HelpMindBody manage appointments fairly, use appointment time responsibly, and, where possible, make the session time available to another person.

 

This policy is intended to promote clarity, fairness, and reasonable administration of appointments. It will be applied in a way that is fair, proportionate, and consistent with applicable law.

Requests to Reschedule with Sufficient Notice

Where at least 24 hours’ notice is given before the scheduled session time, HelpMindBody may allow the session to be rescheduled without additional charge, subject to availability and agreement on a new appointment time.

 

A request to reschedule does not automatically secure a new appointment. Any alternative appointment will only be confirmed once it has been agreed by Helpmindbody. Where a session is rescheduled, the original booking may be treated as continuing on the new agreed date rather than as a cancellation, unless otherwise stated.

Late Cancellations or Late Rescheduling Requests

Where a cancellation request or a request to reschedule is made with less than 24 hours’ notice, HelpMindBody may retain 50% of the session fee, where this is fair, proportionate, and reasonably connected to the loss caused by the late change.

 

This is because late changes may result in loss of the reserved appointment time, reduced opportunity to offer that time to another client, and administrative or professional time already committed to the session.

 

Any amount retained under this policy will be applied in a way that is fair and consistent with the circumstances of the booking.

Missed Sessions and Non-Attendance

If you do not attend a scheduled session and do not give notice beforehand, we may treat the missed session as a late cancellation.

 

In such circumstances, we may retain up to 50% of the session fee, where this is fair, proportionate, and consistent with applicable law.

 

A missed session does not create an automatic right to a replacement session, refund, or credit.

Refund Position

Any refund entitlement will depend on the circumstances of the booking, the amount of notice given, the stage reached in the service process, and the terms clearly communicated before the session was confirmed.

 

Where at least 24 hours’ notice is given, HelpMindBody may, where appropriate, offer rescheduling instead of a refund that is subject to availability.

 

Where a cancellation is made with less than 24 hours’ notice, or where a session is missed without notice, HelpMindBody may retain up to 50% of the session fee, where this is fair, proportionate, and consistent with applicable law.

 

Nothing in this policy is intended to remove or limit any rights that cannot lawfully be excluded.

Changes or Cancellations by HelpMindBody

HelpMindBody may cancel, reschedule, decline, or interrupt a session where this is reasonably necessary for reasons including illness, emergency circumstances, safeguarding concerns, legal or regulatory obligations, professional boundaries, technical difficulties, service suitability, or other circumstances outside reasonable control.

 

Where HelpMindBody cancels a paid session and no suitable alternative session is provided or agreed, an appropriate refund, credit, or rebooking option will be offered in accordance with applicable law.

Exceptional Circumstances

HelpMindBody may, at its discretion, consider exceptional circumstances when applying this policy. This does not mean that an exception will always be granted, but it allows reasonable flexibility where fairness requires it.

 

Any exception, waiver, or adjusted outcome will be decided on a case-by-case basis and will not create an automatic precedent for future appointments.

Fair and Reasonable Application

This policy will be applied fairly, reasonably, and in good faith. It is intended to protect both the client and HelpMindBody by setting clear expectations around appointment time, notice, and financial consequences of late changes or non-attendance.

 

Where any part of this policy would be unlawful or unenforceable in a particular case, the remainder of the policy will continue to apply to the extent permitted by law.

Confidentiality and Its Limits

HelpMindBody recognises the importance of privacy and confidentiality, particularly in the context of therapy-related services, couples therapy, joint therapy, mental health matters, and other sensitive personal information.

 

Where information is shared with HelpMindBody in connection with an enquiry, appointment request, assessment, therapy-related service, administrative matter, or related communication, that information will be handled with appropriate care and with regard to applicable legal, ethical, safeguarding, and professional responsibilities.

 

Confidentiality is an important part of building trust within a professional therapeutic setting. However, confidentiality is not absolute, and there are circumstances in which information may need to be used, shared, disclosed, or reported where this is reasonably necessary, legally required, ethically justified, or connected with the safe and proper administration of services.

Risk of Serious Harm

Where there is a serious concern that you may be at risk of significant harm, or that another person may be at risk of significant harm, HelpMindBody may disclose relevant information where this is reasonably necessary to protect safety, life, or wellbeing.

Where there are concerns relating to the safety, welfare, or protection of a child, young person, vulnerable adult, or other person at risk, HelpMindBody may disclose relevant information where safeguarding responsibilities require it.

Professional Support and Practice Administration

No Absolute Guarantee of Confidentiality in All Communications

While HelpMindBody takes reasonable steps to protect confidentiality and handle information appropriately, no method of electronic communication, website transmission, platform, or data storage system can be guaranteed to be completely secure or risk-free.

Users should avoid sending highly sensitive, urgent, or emergency information through ordinary email or general website communication channels unless this is appropriate and agreed.

This may include deciding not to begin a service, not to continue a service, suggesting an alternative form of support, or applying additional boundaries or conditions where reasonably necessary.

 

Couples Therapy and Joint Therapy Boundaries: Where couples therapy or joint therapy is offered, the structure, communication boundaries, confidentiality approach, and practical arrangements may differ from those that apply in individual therapy.

 

HelpMindBody may set additional terms, expectations, or boundaries for couples therapy or joint therapy, including requirements relating to participation, communication, consent, information sharing, and the management of shared therapeutic work.

 

Administrative and Operational Boundaries: HelpMindBody may set reasonable boundaries relating to bookings, payment deadlines, cancellations, rescheduling, intake processes, document completion, record keeping, and related administrative matters.

 

Failure to comply with reasonable administrative requirements may affect whether a booking is confirmed, continued, or made available.

 

Legal, Ethical, and Safeguarding Boundaries: Services are provided subject to applicable law, safeguarding duties, ethical obligations, and professional responsibilities.

 

Where those duties require a boundary to be maintained, adjusted, or enforced, HelpMindBody may do so even where this affects communication, confidentiality, service continuation, or the availability of a requested service.
